Job Description

 ROLE SUMMARY

The Job holder will check the Vote Book, ensure budgetary controls are in place, and keep safe custody of accountable documents.


 Duties and Responsibilities

(i)    Sorting all authorized payments for different payment modes (cash or cheques, RTGS);

(ii)   Posting cash payments in cash journals and print receipts;

(iii)  Posting cheque payments, printing the cheques, stamping the documents, recording in the movement register, and circulating for signatures;

(iv)  Detaching cheques, recording them in their respective dispatch registers, and tagging all payments with batch details;

(v)   Reconciling/balancing daily cash journal for preparation of float reimbursement;

(vi)  Dispatching cheques to the vendors and disbursing cash payments;

(vii) Preparing payment advice on all payments;

(viii)  Filing bank pay-in slips for cash receipts and cheque counterfoils;

(ix)  Withdrawing cash from the bank and banking the cash received;

(x)   Managing cash transfers within fund bank accounts and custodians;

(xi)  Receiving, confirming, and receipting payments from employers through various modes of payment;

(xii) Reconciling cash and cheque contributions to bank statements;

(xiii)  Recording income in manual banking register, Income;

(xiv)   Assisting in the preparation of employer reconciliations;

(xv) Preparing daily cash summary reports; and

(xvi) Returning bounced cheques to employers and following up for re-issue.


Requirements for Appointment

(i)    Bachelor’s degree in Finance, Accounting, Economics, Commerce, or a related field from a recognized institution; 

(ii)   Proficiency in computer applications; and

(iii)  Fulfilled the requirements of Chapter 6 of the Constitution.
